A disaster would be flooding, a tornado, a hurricane, a landslide, an earthquake or some other act of nature. Since we cannot avoid most of these, we must be prepared with emergency policies and procedures for when they do occur. In advance of any emergency or disaster, you want to prepare written office procedures and ensure that key personnel are trained. Identify local service companies and create relationships that will ensure quick repairs and clean up. Monitor news reports during disasters, especially when these events are predicted. Take any advanced action whenever possible. Once an event occurs, immediately implement your procedures and disaster policies. Monitor the conditions closely and keep your incoming phone lines open whenever possible. If you are required to evacuate your office, forward the phone calls to a different location or record emergency instructions for those trying to reach you. Always prioritize your emergency requests and get help assigned to those in immediate peril. Counsel tenants as needed and refer them to outside agencies such as the American Red Cross when they need shelter or food. Once the disaster has passed, begin the process of determining the extent of the damage. Schedule repairs and notify property owners. You’ll also need to contact insurance companies and assist tenants who need substitute housing.
